  • CUSTOMER DEADLINES:

    • INTERNATIONAL FLIGHT: TraSOLOvel requires travelers to provide their international flight information by the stated deadline. Travelers will be notified via email of the steps to submit flight details in advance of the due date. All flight information must be submitted at least six (6) weeks before the trip departure date.  Failure to submit international flight information by the deadline will result in trip cancellation. Once the trip is canceled by the company, it will not be reinstated. No refunds, credits, or trip transfers will be provided to travelers who fail to submit the required information on time.

    • TRAVEL INSURANCE: TraSOLOvel requires travelers to purchase travel insurance and submit proof by the stated deadline. Travelers will be notified via email of the steps to submit proof of insurance in advance of when it is due. Minimum required coverage: $100,000, which must include medical and evacuation. The total coverage amount must be at least $100,000 when combining the medical and evacuation line items.  For domestic trips, proof of medical insurance is required instead of travel insurance. Submission deadline: Six (6) weeks before trip departure.  Failure to provide proof of travel insurance by the deadline will result in trip cancellation. Once the trip is canceled by the company, it will not be reinstated. No refunds, credits, or trip transfers will be provided to travelers who fail to submit the required information on time.

    • VISA: If a visa is required for entry into the destination country, travelers are responsible for securing their own visa. For trips that include airport transfers: Travelers must provide proof of visa at least three (3) days prior to trip departure. If a traveler does not secure their visa, airport transfers will not be provided, even if included in the trip cost. For trips without included airport transfers: Travelers can obtain a visa upon arrival if permitted by the destination country.  No refunds, trip credits, or trip transfers will be provided if a traveler is unable to obtain a visa for any reason. TraSOLOvel does not assist in the visa application process.

    • PASSPORT: If a domestic flight, train, tour, or cruise (boat) transfer is included in the cost of the trip, TraSOLOvel requires travelers to submit passport information at least three (3) months before the trip departure date.  Travelers will be responsible for any change fees if incorrect, expired, or invalid passport information is submitted. Failure to submit passport details by the deadline may result in the traveler having to book their own transfer at their own expense.

    REFUNDS & CANCELLATIONS

    CUSTOMER CANCELLATION

    If a traveler cancels a trip for any reason—including but not limited to failure to meet entry/exit requirements, travel concerns, personal or job restrictions, or any other reason—no refunds, trip credits, or trip transfers will be provided.

    Deposit or Payment Transfers

    • Trip deposits or payments for a trip canceled by the customer cannot be applied to another trip.

    • Deposits and payments cannot be transferred to another traveler.

    COMPANY CANCELLATION

    • A trip will be canceled immediately after one missed payment if not resolved within the grace period.

    • Travelers who fail to submit required travel information at least six (6) weeks before departure will have their trip canceled with no refund, credit, or transfer.

    • TraSOLOvel reserves the right to cancel any trip at its sole discretion, for reasons including but not limited to:

      • Global pandemics/diseases

      • Natural disasters

      • Border closings/quarantines

      • Acts of war/terrorism

      • Civil unrest

      • Any other event affecting the trip’s feasibility

    If TraSOLOvel cancels a trip for any reason, travelers will receive a trip credit valid for 365 days from the canceled trip’s end date. No refunds will be provided.

    CANCELLATION & REFUND SCHEDULE

    All payments, including the deposit, are subject to the following refund policy if the traveler cancels their trip.

    • 181+ Days Before Trip Departure: 100% refund, including the deposit.

    • 151 - 180 Days Before Trip Departure: 75% refund (25% cancellation fee applies).

    • 121 - 150 Days Before Trip Departure: 60% refund (40% cancellation fee applies).

    • 91 - 120 Days Before Trip Departure: 50% refund (50% cancellation fee applies).

    • 61 - 90 Days Before Trip Departure: 25% refund (75% cancellation fee applies).

    • 60 Days or Less Before Trip Departure: No refunds, credits, or transfers.

    FORCE MAJEURE

    There may be times when either party is unable to perform, or complete performance, under the travel contract for reasons out of each other’s control. These are called force majeure events and if occurs, make performing under the contract inadvisable, commercially impracticable, illegal, or impossible. Force majeure events include, but are not limited to:

    • Acts of God (natural disasters, earthquakes, hurricanes, floods, rain, wind, storms, etc.)

    • Acts of war, terrorism, or civil unrest

    • Global pandemics, diseases, or outbreaks

    • Border closings, government-imposed restrictions, or quarantines

    • Airline disruptions or flight cancellations

    • Supplier or vendor failures

    • Any other event outside the reasonable control of either party

    If a force majeure event affects a scheduled activity during the trip, TraSOLOvel will make every reasonable effort to reschedule the activity. However, if we are unable to reschedule the activity for any reason, no refunds, credits, or compensation will be provided. If a force majeure event affects a scheduled trip that has not taken place, TraSOLOvel will look to and follow our global pandemic policy. Passengers will be informed via email of their options if a force majeure event occurs.

    ROOMMATE POLICY

    • If a traveler’s roommate cancels, this does not entitle them to a single room. A new roommate will be assigned.

    • Travelers cannot request a refund or trip credit due to their original roommate canceling.

    MEAL POLICY

    • Travelers must be present at scheduled meals to receive their meal.

    • Room service or takeout is not provided for travelers who miss meals.

    • TraSOLOvel will not accommodate requests to order and bring meals back for travelers who were absent.

    AIRPORT TRANSFER POLICY

    • Airport transfers are provided on the start date of the trip between 5 AM - 11 PM local time and on the final date of the trip between 12 AM - 12 PM local time. Any transfers outside of these hours must be arranged by the traveler.

    • Airport transfers are only available for travelers landing on the arrival date. TraSOLOvel will not facilitate transfers for travelers who arrive early and then return to the airport on the start date to utilize the included transfers.LUGGAGE INFORM

    • Airport transfers and ground transfers are booked to accommodate one large suitcase per traveler. Travelers bringing additional luggage should note that this may impact their level of comfort during transfers

    PAYMENT PROCESSING: Travelers will have the option to choose their payment method for each monthly invoice. Payments can be made via bank transfer at no additional cost or by credit card, which will incur a non-refundable 3% processing fee to cover transaction costs.  This option will be available on every monthly invoice, and the Traveler must select their preferred payment method each time.  Please note that this payment choice applies only to monthly invoices and does not include the initial deposit. 


    LIABILITY WAIVER: TraSOLOvel is not liable for any injury, loss, damage, accident, delay, or expense resulting from circumstances beyond our control. By booking a trip, travelers agree to release TraSOLOvel from all claims arising from their participation in the trip.

    GLOBAL PANDEMIC POLICY: The following policies and procedures are applicable with response to global diseases/pandemics, natural disasters, border closings/quarantines, acts of God, and acts of war/terrorism, emergent situations, civil unrest, or turmoil in the country (hereinafter "Global Events"), or any other reason and travel policies as applicable to all TraSOLOvel trips. By way of background, there has been an onslaught of global illnesses that have had some level of contagion that has affected travel in recent years. In recent months especially, the prevalence of COVID-19 (commonly referred to as the "coronavirus") has impacted the travel industry, including flight cancellations, trip cancellations, and more. This Policy shall apply to any trip canceled by TraSOLOvel for any reason, either relating to a Global Event or for any other reason.

    By booking this trip, you understand and agree to the following:

    The Company is the sole decision-maker regarding whether or not a trip is proceeding as planned regardless of U.S. travel advisories or Traveler unwillingness to travel for any reason. All trips with the Company should be considered continuing as planned unless otherwise stated by the Company.

    These provisions apply to COVID-19 or any other communicable disease that may arise or currently exists now or in the future, or for any reason listed above and below, or for any reason, even if unstated, in the sole discretion of TraSOLOvel.

    TraSOLOvel has and reserves the right to cancel or terminate any trip at any time, in its sole discretion and at its sole determination. TraSOLOvel shall be able to cancel any trip for any reason or sole discretion, including, but not limited to: global pandemics/diseases, natural disasters, border closings/quarantines, acts of God, acts of war/terrorism, civil unrest, or turmoil in the country or reason.

    If TraSOLOvel cancels any trip for any reason, TraSOLOvel will not issue refunds of any payments made for any reason. Travelers will only be entitled to trip credit valid for 365 days from their canceled trip end date. If Traveler elects not to attend a trip for any reason other than TraSOLOvel canceling the trip, the refund and cancellation provisions as stated in other sections of this Travel Agreement will prevail.

    If any trip is canceled, TraSOLOvel will solely provide email notification to Travelers. Travelers are responsible for ensuring that they are checking their email and receiving emails from TraSOLOvel. TraSOLOvel is not obligated to give any other form of notice of trip cancellation. We will keep you updated timely, and if there is no notification as to cancellation, you can proceed as planned.

    Travelers understand and acknowledge that international travel is an ever-changing situation. TraSOLOvel will do its best to keep Travelers reasonably informed of any changes that may affect the trip for any of the reasons detailed above.

    Travelers are required and responsible for obtaining adequate travel insurance to cover the trip.

    TraSOLOvel recommends that Travelers acquire "cancel for any reason" insurance to ensure better. TraSOLOvel Policy on COVID-19 and Other Global Illnesses coverage in the event of a global "pandemic" or other level spread of illness or any other Global Event. TraSOLOvel will not be responsible for:

    • The cost of any travel insurance that Traveler procures;

    • The cost of any expenditures that Traveler incurs relating to any canceled trip; or

    • Any costs that are denied coverage by travel insurance, either through claims or otherwise.

    • For the avoidance of doubt, by way of example, if Traveler's travel insurance will not cover a flight for a canceled trip, TraSOLOvel bears no responsibility for covering or reimbursing Traveler for such expenditure.

    • Please also note that TraSOLOvel cannot delay payments or hold spots while Travelers wait to learn about travel insurance claims.

    • TraSOLOvel will do its best to let Travelers know if a trip is canceled at least two (2) months before the trip. However, this time frame cannot be guaranteed and is not always feasible due to the ever-changing nature of such travel advisories and Global Events, especially with respect to global pandemics/diseases.

    • If TraSOLOvel offers Travelers the option to cancel or change a trip, there will be a very specific and stated timetable or window for such Traveler-determined cancellations. Any Traveler cancellations outside of that stated period will result in the payments made being non-refundable and non-transferable. The option to change the dates of a trip will be at TraSOLOvel's sole discretion.

    • If Traveler opts to cancel outside of or beyond TraSOLOvel canceling a trip, then standard rules regarding refunds and the non-refundable nature of payments apply.

    • For trips that are proceeding and are not canceled, TraSOLOvel has the right to change the itineraries and lodging at its sole discretion.

    • While TraSOLOvel realizes that airline pricing fluctuates and can change instantaneously, TraSOLOvel advises that it may be prudent, with the nature of COVID-19 and other diseases and Global Events, that Travelers may not want to obtain plane tickets extremely early with respect to the trip and may not want to book more than three (3) months prior to a trip, bearing in mind the fact that prices fluctuate. Ultimately, Traveler is responsible for her own airfare, and TraSOLOvel bears no responsibility for lost airfare, price increases or decreases in airfare, or lack of availability, even if a trip is canceled for reasons outside the aforementioned reasons.

    If TraSOLOvel elects to cancel a trip for any reason, the following will occur:

    • Travelers will be notified promptly of the intent to cancel the trip.

    • No payments that have been made will be refundable. TraSOLOvel will issue a credit to be used on a future trip.

    ASSUMPTION OF RISK: Travelers are aware that some travel involves hazardous activities, with a risk of illness, injury, or death which may be caused by forces of nature, animals, insects or flora, the negligence of TraSOLOvel, or other persons and companies known or unknown, or of willful or criminal conduct of third parties. Travelers are aware that weather conditions may be severe, adverse, and/or unpleasant. Travelers are also aware that medical services or facilities may not be readily available or accessible during some or all of the time during which they are participating in the trip.

    BINDING ARBITRATION: Travelers agree that any dispute concerning, relating, or referring to this Agreement, the brochure, or any other literature concerning Travelers' trip, or the trip itself, shall be resolved exclusively by binding arbitration pursuant to the Federal Arbitration Act, 9 U.S.C. §1-16, either according to the then-existing Commercial Rules of the American Arbitration Association (AAA) or pursuant to the Comprehensive Arbitration Rules & Procedures of the Judicial Arbitration and Mediation Services, Inc. (JAMS). Such proceedings will be governed by substantive (but not procedural) Georgia law and will take place in Atlanta, GA. For full terms, visit www.trasolovel.com.

    VOLUNTARY PARTICIPANT:  Traveler’s acknowledges that they have voluntarily applied to participate on the trip designated on this application (or a trip which I may change to) and that I have read the description of the trip as it appears in the current TraSOLOvelo website relating to the trip, together with all information contained in this application. Traveler’s are voluntarily participating in this trip with knowledge of the hazards involved. KNOWING AND VOLUNTARY EXECUTION. Traveler’s have carefully read these Terms and Conditions and the booking information sections of this document, and fully understand its contents. Traveler’s are aware that this is a release of liability and a contract between myself and TraSOLOvel and agree of my own free will. By signing the trip registration upon booking this trip, Traveler’s agree to these Travel Terms & Conditions and TraSOLOvel Release from Liability, Assumption of Risk and Binding Arbitration.  Clause for myself and each member of my traveling party.

Travelers should check the State Department website at http://travel.state.gov for required passport validity requirements in addition to the required, blank pages for each country. Immunizations may also be required. Travelers should check the Centers for Disease Control and Prevention (CDC) website at http://wwwnc.cdc.gov/travel/destinations/list

  • The Terms and Conditions in this document, hereafter referred to as "Agreement"; (incorporates any terms and or provisions as stated on individual trip sign-up pages) is between "TraSOLOvel"; hereafter referred to as "Company," and the named Traveler in Agreement hereafter referred to as "Traveler."

    By booking or participating in a trip and any related products or services (a “Tour”) with TraSOLOvel, an Atlanta-based company (“TraSOLOvel” or the “Tour Operator”), you (the “Traveler”) agree to these Terms & Conditions (the “Terms”).

    1. Signature of Agreement by TraSOLOvel and Traveler shall not constitute the creation, conveyance, transference, conference, or otherwise grant any rights, authority, ownership, or license in TraSOLOvel to Traveler.

    2. Indemnification: Traveler agrees to release, indemnify, and hold harmless TraSOLOvel, its officers, directors, employees, contractors, vendors, travel guides, assignees, transferees, agents, and any other third parties acting on TraSOLOvel’s behalf against any and all expenses, losses, damages, accidents, injuries, claims, or deaths resulting in whole or in part, either directly or indirectly, from any aspect of travel and/or activities facilitated by TraSOLOvel. In no event shall TraSOLOvel or its representatives bear any total or aggregate liability under this Agreement exceeding the amount of total fees paid by Traveler to TraSOLOvel for the particular trip in question.

    3. Compliance with Laws: Traveler agrees to abide by all applicable domestic and international laws and regulations in the countries of travel and residency. If questioning, apprehension/arrest, detainment, punishment, or incarceration by lawful authorities occurs, TraSOLOvel shall not be responsible or liable for Traveler's actions or release.

    4. Travel Insurance and Documentation: The Company advises Travelers to purchase the necessary and required travel insurance. All required credentials, visas, permits, insurance, and other travel, medical, and identifying documentation are the sole responsibility and expense of Traveler.

    5. Entry Requirements: Travelers are responsible for ensuring they meet all entry requirements. TraSOLOvel will provide entry requirements no more than 6 weeks before the trip departure date. No refunds or transfers will be provided if a Traveler fails to meet entry requirements.

    6. Trip Cancellation and Refunds: Trips proceed as planned unless otherwise communicated. If a Traveler chooses not to attend a trip, no refunds or transfers to other trips will be provided. Any refund issued at the discretion of TraSOLOvel will be processed exclusively to the credit card originally used for payment.

    7. Timely Arrival and Participation: Travelers are responsible for arriving on time for travel departures, events, or activities. The Company assumes no responsibility for Traveler's inability to participate due to insufficient documentation or delays.

    8. Photography and Media Release: Traveler grants TraSOLOvel the right to take photographs, record videos, and use social media posts of Traveler before, during, and after the trip. These may be used for marketing, advertising, promotion, and social media content.

    9. Third-Party Services: TraSOLOvel does not operate, control, or provide services of independent vendors. The Company is not responsible for failures, delays, losses, or damages arising from services provided by third parties.

    10. Traveler Safety and Participation: Traveler acknowledges that safety is their primary responsibility. Travelers agree to observe safety rules and practices, check with a doctor before engaging in physical activities, and assume all risks associated with trip participation.

    11. Liability Waiver: Traveler agrees to release, waive, and discharge TraSOLOvel and its representatives from any liabilities, demands, suits, costs, claims, or injuries, including death, that may occur during or in conjunction with the trip.

    12. Legal Jurisdiction and Governing Law: This Agreement is governed by the laws of the state of Georgia, United States, and takes place in Fulton County, Georgia. Attorney fees for any breach shall be borne by the losing party.

    13. Perpetual Agreement: This Agreement shall be in effect from the signed date (either electronically or physically) and shall cover all future travel, activities, or events in which the Traveler may participate that are affiliated with TraSOLOvel.

    14. Modifications and Updates: The Company reserves the right to update or modify these Terms & Conditions at any time. Travelers are responsible for reviewing updated terms before booking any trip.
